GovGrantsUSA is operated by VRLY Ventures LLC ("we", "us", "our"). This Privacy Policy describes how we collect, use, disclose, and protect your information when you use our platform at govgrantsusa.com (the "Service").

By using the Service, you agree to the collection and use of information as described in this policy.

1. Information We Collect

Information You Provide

  • Account information: name, email address, and password when you register
  • Organization details: organization name, type, EIN, state, congressional district, NAICS codes, annual revenue, employee count, and mission statement
  • SAM.gov data: Unique Entity Identifier (UEI) and registration status when you use the verification feature
  • Application content: grant application narratives, budget information, project descriptions, and AI questionnaire responses you enter
  • Documents: files you upload to the document library (resumes, letters of support, financial statements)
  • Team information: names and email addresses of team members you invite
  • Payment information: processed securely through Stripe. We do not store credit card numbers on our servers.
  • Communications: messages you send to our support team

Information Collected Automatically

  • Usage data: pages visited, features used, actions taken within the platform
  • Device information: browser type, operating system, IP address, device identifiers
  • Cookies: session cookies for authentication, preference cookies for settings, and analytics cookies for understanding usage patterns
  • Log data: timestamps, referring URLs, and error reports

Information from Third Parties

  • Stripe: payment confirmation status and subscription details
  • Anthropic (Claude AI): we send your application content and organization profile to Anthropic's API for AI-assisted drafting. Anthropic does not use API data for model training.
  • Government APIs: grant opportunity data from Grants.gov, SAM.gov, SBIR.gov, and USASpending.gov (public data, not your personal information)

2. How We Use Your Information

  • Provide, operate, and maintain the Service
  • Match your organization profile with relevant federal grant opportunities
  • Generate AI-assisted application drafts based on your input
  • Process payments and manage your subscription
  • Send deadline alerts, match notifications, and service updates
  • Respond to support requests
  • Detect and prevent fraud, abuse, and security threats
  • Analyze usage patterns to improve features and user experience
  • Comply with legal obligations

3. How We Share Your Information

We do not sell your personal information.

We may share information with:

  • Service providers: Stripe (payments), Anthropic (AI processing), Wasabi (cloud storage), and infrastructure providers that help us operate the Service
  • AI processing: When you use AI drafting features, your application content and organization profile are sent to Anthropic's Claude API. This data is used solely to generate your requested draft and is not used to train AI models.
  • Legal requirements: When required by law, court order, or government request
  • Business transfers: In connection with a merger, acquisition, or sale of assets, with notice to affected users
  • With your consent: When you explicitly authorize sharing

4. Data Storage and Security

Your data is stored on secure servers. Documents are stored on Wasabi cloud storage with encryption. We implement industry-standard security measures including:

  • HTTPS encryption for all data in transit
  • Hashed passwords (bcrypt)
  • CSRF protection on all forms
  • Security headers (HSTS, X-Frame-Options, X-Content-Type-Options)
  • Organization-scoped data access (customers cannot access other organizations' data)

While we take reasonable measures to protect your information, no method of electronic storage or transmission is 100% secure.

5. Cookies

We use the following types of cookies:

  • Essential cookies: Required for authentication, session management, and security. Cannot be disabled.
  • Preference cookies: Store your settings and display preferences.
  • Analytics cookies: Help us understand how you use the Service so we can improve it.

You can control cookies through your browser settings, but disabling essential cookies will prevent you from using the Service.

6. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Delete your personal data (see Section 8)
  • Export your data in a portable format
  • Opt out of non-essential communications
  • Withdraw consent where processing is based on consent

7. Data Retention

We retain your data for as long as your account is active. If you delete your account:

  • Personal information is anonymized within 30 days
  • Application content and documents are retained in anonymized form for aggregate analytics
  • Backup copies are purged within 90 days
  • Payment records are retained as required by tax and financial regulations

8. Account Deletion

You can delete your account from your dashboard settings. Account deletion will:

  • Anonymize your name and email address
  • Suspend your organization
  • Remove your SAM.gov UEI, EIN, and key personnel data
  • Cancel any active subscription

9. California Residents (CCPA)

If you are a California resident, you have the right to:

  • Know what personal information we collect and how it is used
  • Request deletion of your personal information
  • Opt out of the sale of personal information (we do not sell personal information)
  • Non-discrimination for exercising your privacy rights

10. Children's Privacy

The Service is not intended for individuals under 18 years of age. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us immediately.

11. Third-Party Links

The Service may contain links to third-party websites, including Grants.gov, SAM.gov, and other government portals. We are not responsible for the privacy practices of these external sites.

12. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or through a notice on the Service at least 30 days before the changes take effect.
